HOW?

Two methods exist for clients to use the services of PEP

• Email document (including all titles, headings, figure labels etc.) in a word processor format (preferably Microsoft Word ’95 or later) --- quickest method

• Post document to PEP* with the understanding that proofing will take longer and responses may need to be in a written rather than electronic format. (It is recommenced that clients using this method send documents via a registered post service (e.g. commercial courier) to prevent loss in transit.)  --- slower than emailing

* - An additional cost will be incurred to return the proofed document to the client by the clients preferred method.

HOW LONG?

The response time will vary dependent on the length of the document to be proof read and the standard of English

• Emailed – 1 to 2 weeks

• Posted – 2 to 4 weeks from delivery (dependent on clients choice of postal return method)

In the case of urgent requests where there is a special need for the document to be proofed as soon as possible, PEP will make an undertaking to complete the document and return it in the smallest possible time at no extra cost.

HOW MUCH?

• Cost is based on the size of the document but an approximate cost is ¥ 1, 800 per page (double spaced, 12 font).

• To calculate exact cost, the number of characters in the document will be multiplied by 1.40 to give an amount in Japanese Yen.  This method of charging is cheaper for the user than charging per word (as done by some of our competitors), as English contains many small words such as ‘and’, ‘the’ and ‘a’.  Such words will have a small impact on the cost of proofing using the PEP method, but will increase the price greatly with a per word fee structure.

• To check approximate cost of having a document proofread, select Word count from the Tools menu in word, and multiply the ‘Characters (no spaces)’ figure by 1.40

	×COST EXAMPLEØ e.g. A 10 page, double spaced document in 12 pt font would have approximately 14, 320 characters: Cost = 14 320 x 1.40 = ¥ 20, 048

• A special discount is given to repeat customers (5% off) on submission of their third manuscript and to those who refer new customers (5% off future proofreading when the referred client makes an order).
